Reporting into the Purchasing Manager your responsibilities are to maintain stock control file’s within the dedicated computer Merlin programme. Maintenance will include minimum / maximum stock levels.
Related price files from various locations e.g manufacturers, web based group purchasing and in liaison with foods suppliers customer services, to further update computer price files.
Maintain suppliers Terms & Conditions on public drive by Supplier Name.
Continually update both Merlin & Erudus with product specifications and technical notes.
Action any local promotional activity and maximise any opportunities within the Q Catering agreed promotions calendar.
Accurate contract details need to be outlined complete with all relevant data, e.g drop rates, quantity pricing breaks on both pallet and layer quantities , full email, main contact no’s and decision makers names need to be kept and maintained within the Merlin programme.
Deliver any opportunities on stock build promotions or any purchasing gains.
Deliverance of daily scheduled reports on stock levels e.g Milk, Cream, Butters, Cheeses, Sliced Meats etc along with any adjustments that may need to be made.
Respond to buying group requests for annual volumes by forecasting on product groups.
Other responsibilities to include purchasing Nationally, Locally agreed promotion’s by way of communicating internally with the Field Sales Team / Telesales Managers to maximise sales out opportunities and communicate all outcomes with the Warehouse Management structure and goods inwards.
On completion of agreed activity appropriate analysis needs to be completed and presented and communicated as to the effectiveness of the promoted lines.
Regularly review and update scheduled report on the entire range of products within the Q Catering portfolio of products, by maintaining product codes e.g managing short date coded product effectively and timely prior to expiration dates.
Remove slow moving lines along with any damaged and quarantined product lines and updating those lines removed or replaced within Merlin.
Investigate daily warehouse stock by supplier or individual SKU and make any adjustments within the Merlin system.
Effectively challenge suppliers who break terms of trading by either late deliveries, poor service, damaged goods upon deliveries.
Initiate Goods Inward’s checks on products being delivered into warehouse.
Review Current Product Range;
Chair and interact with supplier representatives on new product launches along with reviewing current marketing trends and supplier data on sales at Q Catering.
Investigate current product range, benchmark current products with those that might be presented specifically looking at costs per case.
Effectively NPD ( New Product Developments ) need to be communicated internally along with any stock creation records.
Act upon Nationally Agreed / Locally Agreed promotions.
Action order and initiate al seasonal counts and place seasonal orders after communication with Q Sales Teams etc.
Look at seasonal synergies and pricing gains including any stock build promotions.
Daily review of all pricing queries with returns to Bought Ledger daily.
Administer and effectively communicate daily out of stocks reports or non-availability of products to senior management & sales teams.
Drive on 96% service levels across all purchasing e.g Frozen, Chilled, Ambient & Non Foods by using data reporting tools.
Complete all tasks relating to investigations as required by senior management e. stock takes, product recalls for investigation and initiate product recovery if required.
Action all communication with senior management prior to any direct contact with the customer data base.
Action phone calls / emails daily between senior management, suppliers, telesales, & sales.
Complete monthly retrospective rebate claims between suppliers and Q Catering to include Nationally / Locally agreed promotions.
Action all locally agreed promotional activity two weeks prior to the promotions going live in order to top up stock levels accordingly refer and agree all activity with Q sales plus Senior Management.
Present at sales meetings and introduce new suppliers to the Q Sales Team.
Complete a minimum of at least one meeting the suppliers within the Fairway Group held at various venues nationally on behalf of Q Catering.
