Background of department/role

The role provides high quality administrative support to colleagues from across the Faculty Executive Group. The primary focus will be supporting the Faculty Executive directly in arranging meetings and diary support, bringing forward papers, sense-checking and editing documents, maintaining agreed areas within the faculty SharePoint, uploading data on to data systems and administering some delegated StaffSpace functions, along with other duties commensurate with the role as required.

The role will also provide opportunities in supporting larger school and faculty activity, including special events, staff and student recruitment, conference facilitation and welcoming/supporting external guests and visitors invited to the faculty.

The post resides within the Faculty Executive Services Team, however the role holder will work closely with other team members across Faculty Operations, Academic Administration and Quality, as well as academic colleagues and staff from central directorates, to ensure a range of responsive, dedicated services to meet the needs of the Faculty Executive Group and the Heads of School/Centre in particular. The role holder will work closely with members of the Faculty Executive Group to ensure administrative support from across the faculty is engaged to ensure the operational objectives of the Faculty Executive Group are realised.

To be successful in this role, we are looking for an individual with the ability to support and complete multiple activities simultaneously across multiple colleagues based within the Faculty Executive Group. The successful applicant will need to display the ability to multi-task, be effective in independent working as well as team working and accept ownership of tasks with a solutions-based focus to best support our stakeholders. Each Faculty Executive Group member is responsible for a different area of business. Support for each Faculty Executive Group member can vary, and requests for support can be diverse and range across multiple areas.

Flexible and connected (Professional Services) Campus attendance will vary on a day-to-day basis and across the year but must purposefully align to the needs of our students, staff, and stakeholders. It is expected that there will be a relatively even balance between time spent on and off campus; but in most cases the work location will be determined by the service required or the tasks/activities being undertaken>.

The expectations for working on campus within the Faculty Executive Services Team is defined as three working days on campus per week, with the remaining two days working from home.
